Baby Shower Planning Checklist UK: From First Plans to Party Day

To plan a baby shower, agree what the parent-to-be would enjoy, set a spending limit, choose the guests and confirm a date and venue. Then arrange invitations, food and a few activities. Decorations can come after those decisions.

This checklist works for a shower at home or in a hired space. The countdown is a suggested way to spread the jobs, not a booking deadline: start earlier for a busy venue or guests travelling a long way, and combine stages if you have less time.

Agree the essentials before spending

Ask the parent-to-be about the guest list, preferred atmosphere and anything they would rather skip. That includes surprise arrangements, photographs, public gift opening and games. A quiet lunch and a decorated afternoon party need different plans.

Write down five decisions:

  • Who is coordinating the shower and who can help
  • The total spending limit and who has agreed to contribute
  • An approximate guest count
  • Possible dates and locations
  • The activities and moments the guest of honour actually wants

If several people are paying, agree contributions before anyone books or orders. Our guide to who hosts and pays for a baby shower covers that conversation in more detail.

Six to eight weeks before the shower

Use this stage to secure the date and give guests useful information.

  • Confirm the date with the parent-to-be and key guests
  • Choose the venue and check the total capacity
  • Confirm the guest list, including partners and children where invited
  • Check seating, toilets, access, parking and public transport
  • Ask about setup time, clearing away and decoration restrictions
  • Agree any venue charges and the supplier's payment and cancellation terms
  • Send invitations with a start time, finish time and RSVP date
  • Ask guests to mention dietary and access requirements privately
  • Allocate food, cake, decorations and activity jobs to named helpers

Check exactly what the venue provides. A room may include tables and chairs but not table linen, crockery or permission to attach decorations to walls. At home, count actual seats rather than assuming everyone will be happy standing.

For choosing the date around the family's plans, read when to have a baby shower.

Three to four weeks before

Turn the guest list and spending limit into a manageable shopping list.

  • Choose a simple colour scheme or theme
  • Arrange food, drinks and cake with the people supplying them
  • List serving dishes, cups, plates, napkins and cutlery
  • Decide whether you want games, relaxed activities or both
  • Choose a host for each activity
  • Order any printed games, signs or other items you need delivered
  • Arrange a compatible frame or stand if using a welcome poster
  • Decide whether to offer prizes or favours; neither is compulsory
  • Set aside any borrowed decorations and serving items

For ready-printed activities, our six-game baby shower bundle has guest-pack options for 10, 20, 30 or 40 people. Select the option for the people playing, and choose the rounds that fit your event rather than trying to use every game.

If you would rather print at home, our existing free baby shower games hub brings the downloads together. Print a test sheet early and keep any answer key out of the player copies.

Make a budget you can update

Use a planned amount and an actual amount for each category. Include delivery charges and hired equipment where relevant.

Category Planned Actual
Venue and equipment £___ £___
Food and drinks £___ £___
Cake £___ £___
Games, signs and stationery £___ £___
Decorations £___ £___
Optional prizes and favours £___ £___
Delivery and other costs £___ £___
Unspent reserve £___ £___
Total £___ £___

For example, a host choosing a £200 cap for a shower at home could allocate £75 to food and drinks, £25 to cake, £45 to games and stationery, £20 to decorations and £35 as a reserve. That adds up to £200. It is an illustration of dividing a chosen budget, not a claim about typical UK prices or what a particular guest count will cost.

If the real quotes exceed your limit, change the plan before paying. Borrowed serving dishes and fewer decorative extras may matter less to guests than having enough space and time together.

One to two weeks before

  • Follow up unanswered invitations
  • Confirm the headcount and any supplier deadlines
  • Pass dietary and access requests to the relevant helper or venue
  • Check deliveries against what you ordered
  • Read the game instructions and separate host and player materials
  • Test-print downloads and check that all clues are legible
  • Count game sheets, pens, seats and place settings
  • Write a short running order with room for conversation
  • Confirm who will welcome guests, take photographs and help clear away
  • Arrange how the parents will take gifts and keepsakes home

If using a sign, check its dimensions against the display space. Our baby shower welcome signs have different designs and options; choose the actual size and format you need, rather than treating all signs as interchangeable.

The day before

  • Reconfirm venue access and collection arrangements
  • Check the weather if any part of the plan is outdoors
  • Pack decorations, signs and their supports together
  • Put each game's cards, key and pens in one labelled pile
  • Charge the phone or camera you intend to use
  • Keep supplier contacts and the guest list available to the host
  • Share the running order and arrival instructions with helpers

Do not leave the first printing attempt or an unfamiliar game until guests are on the way. A quick practice read makes it easier to explain the rules without interrupting the party.

A sample two hour baby shower schedule

This example includes one main game and an optional quieter activity. Change it to suit the parent-to-be and the venue's booking.

Time Activity
1.00–1.20 Arrivals, drinks and introductions
1.20–1.55 Food and conversation
1.55–2.15 One game, including instructions and answers
2.15–2.35 Cake and photographs
2.35–2.50 Optional written messages or a second short activity
2.50–3.00 Goodbyes and collecting keepsakes

Keep public gift opening optional and agree it beforehand. If lunch runs long, lose the extra activity instead of cutting every conversation short. Our guide to how many baby shower games to play can help you choose what to keep.

The final check before guests arrive

  • Seats and an unobstructed route through the room
  • Food and drinks arrangements ready with the responsible helper
  • A visible place for coats and gifts
  • A comfortable seat reserved for the guest of honour
  • Pens, game sheets and a private answer key within reach
  • A box or envelope for cards to keep
  • Someone ready to welcome guests

Once those jobs are covered, the host does not need to keep adding details. A clear plan is there to make the afternoon easier, not to turn a celebration into a timetable everyone has to complete.
